Travel and practical information

Venue

Gudbrandsgard Hotel is located at Kvitfjell, about 2,5 hours from Oslo Airport. You can get to know the hotel and its facilities on their website

Activities 

During the AHM, we will make room for our participants to do something social together at their own initiative. Gudbrandsgard Hotel is close to both cross-country and downhill opportunities. There is also a spa section, including a sauna, which is available for our participants to use. The spa section is open daily from 7:30 to 20:00 and the sauna is heated until 19:00. Bring your swimwear and/or ski equipment for use of amenities out of scheduled hours. 

Transport and accommodation 

NeIC will arrange accommodation, meals, and transport between Oslo airport at Gardermoen and Kvitfjell for all registered participants and invited speakers. Please make your own travel arrangements to and from Gardermoen; read about travel reimbursements below. 

Please let us know when you register if you would like to make your travel or accommodation arrangements by yourself.  

How to get there

Bus   
NeIC will arrange buses between Oslo airport and Gudbrandsgard Hotel for the people who choose to go by bus. The shuttles leave the Oslo airport on Monday 23 January at:

  • 11:30 (arrives at Gudbrandsgard Hotel approximately 14:30)
  • 13:30 (arrives at Gudbrandsgard Hotel approximately 16:30)

The bus ride takes 2,5-3 hours. We meet no later than 10 minutes before departure at the arrival hall Meeting Point close to the Airport Information Center. Please see map of the arrival hall here


Train   
You can also travel to Kvitfjell by taking the train to Ringebu and then a local bus or taxi from Ringebu to Kvitfjell. You can take the train to Ringebu from Oslo (2h and 50min), Oslo airport Gardermoen (3h) and Trondheim (3h and 50min). Book your train tickets on Vy's website.

How to get back

Shuttles leave Gudbrandsgard on Thursday 26 January at:

  • 12:00 (arriving at Oslo airport approximately 15:00)
  • 13:30 (arriving at Oslo airport approximately 16:30)

The bus ride takes 2,5-3 hours. In case of unforeseen circumstances with the traffic etc. we recommend that you don't plan a tight schedule at the airport.

Intended participants 

The intended participants of the All-hands meeting are 

  • project teams and managers, 
  • pre-study coordinators and teams as agreed with the coordinator,
  • coordinators of affiliate and extended affiliate projects,
  • NeIC's board, and
  • members of the provider forum.

Other participants 

Interested members of project steering groups or reference groups are welcome to join the meeting to participate in the discussions, socialise with NeIC and see what work in NeIC is like on the inside. NeIC will not reimburse travel costs. However, we do not recommend co-locating official meetings in such groups to this event in order to keep the focus on the programme planned and enjoying some free time with colleagues. 

Family policy 

The focus of the All-hands meeting should be on spending social time together with your teammates, and therefore we do in general not recommend to bring your family during the meeting. If you want to explore the location with your family you’re welcome to do so, but preferably before or after the meeting. NeIC will not arrange or reimburse any travel or accommodation for that.

Travel reimbursements 

NeIC project personnel and managers will be reimbursed for travel expenses incurred through project budgets. Expenses should be claimed through your home organisation (employer). The home organisation will add these expenses to its quarterly invoices to NeIC.

Pre-study coordinators and possible team members' travels are reimbursed from the pre-study budget. 

For NeIC affiliate coordinators and members of the board, provider forum, steering groups or reference groups NeIC will not reimburse travel costs.

Sauna

Enjoy the sauna in one of the breaks! The sauna is open and heated between 07:30-19:00.
